Transactional Content Management-Considerations to Increase Adoption

When new technology is being evaluated by a company to help drive efficiency, there are some important considerations.  Based on experience, here are the top 5 to ensure high user adoption rates.

Does the product offer you a seamless integration into your ERP/CRM solution?

Seamless integration is important so the users experience flows effortlessly from one application to the other.  This eliminates a user toggling between applications.  Not all integrations are created equal.  To ease the burden of the IT staff, the Integration should not be custom.  It should be a supported ‘off the shelf’ integration that goes through various stages of Quality Assurance.  Look for the "Certified for Microsoft Dynamics" logo to know that the system has been tested by an independent third party!

It is also important that the product roadmaps between the applications and companies are aligned.  This ensures a consistent experience for both IT and the application users.    How intuitive is the user interface?

Users want technology that alerts them while putting information at their finger tips.  When PaperSave was designed, we focused on the user experience.  When you open a record, PaperSave alerts the user that documents exist.  Within a click, you can go from record/transaction to the supporting document!  There is no need to navigate to a drop down menu or launch a separate application

Does the solution cater to more than just my AP needs?

In the market today, there are many types of Workflow solutions available.  Some which cater to employee expenses, others that cater to the Requisition/Purchase Order process.  PaperSave can be used across your operations since it is an Enterprise Content Management solution.  We have many off the self integrations available with process focused solutions specializing in Purchase Order/Requisition and Sales Order Process so documents can be stored, searched and retrieved consistently.

Can the solution allow non ERP/CRM users access to the documents?

PaperSave can allow non-dynamic users to be part of electronic workflows, in order to review, approve/reject or move items through your workflow. We also offer non-dynamic users the ability to access documents through our SharePoint Integration allowing your organization the ability to collaborate from multiple locations.

Does the product use industry standard technology?

PaperSave is built on the Microsoft Stack, Microsoft Windows Workflow Foundation and leverages Active Directory for security.  By doing so, we leverage knowledge, experience and infrastructure that you already have in place. Since documents vital to your operations are stored in PaperSave, security (and management thereof) cannot be taken lightly.  With Active Directory integration, administrators can add, change or delete users without launching PaperSave!  To enhance the user experience, PaperSave has a single sign on regardless if you’re adding, viewing or approving a document.
